Challenges
Before Extensiv, Fulfillmate's growth outpaces its tools. Orders arrived as spreadsheets, picks were manual, and shipping labels were printed in a separate system. The result was predictable: missed orders, inconsistent accuracy, and unreliable inventory - customers sometimes bought items that weren't actually in stock.
As the company grew from one to several customers across product categories, from supplements and apparel to small furniture and playhouses, the complexity spiked, and the team needed a platform that would connect shopping carts, unify order/inventory management, and scale beyond a single site.
Solution
Fulfillmate selected Extensiv as a modular foundation it could grow into. The team started by connecting shopping carts to bring orders in automatically and give real-time visibility into order status and inventory. SmartScan tightened the picking process, but the breakthrough came when the team implemented Extensiv's Small Parcel Suite.
Instead of picking in Extensiv and then jumping to another app to create labels, packing, scan-to-verify, and label printing all happen inside Extensiv-capturing the exact package used and surfacing shipping costs for customers.
At the network level, Extensiv's Network Manager changed how Fulfillmate expands. For US coverage, they've partnered with peer 3PLs and Internationally, they leverage existing Extensiv-powered warehouses in Canada, the UK, and Australia, delivering multi-country solutions without building new facilities. That capability also helps customers navigate trade policies (e.g., stocking in Canada to distribute domestically when tariffs shift) and gives Fulfillmate a flexible, asset-light way to demand wherever it arises.
Results
The operational gains were immediate. With SmallParcel consolidating packing and shipping in one flow, throughput climbed from roughly 30 orders/hour to as high as ~90 orders/hour once the team ramped—at least doubling, and up to 3x faster. Scan-to-verify at the pack station improved accuracy, while integrated shipping data increased customer visibility.
Commercially, Network Manager became a growth catalyst. Fulfillmate now bids and wins larger, multi-warehouse, multi-country deals, plugging customers into partner sites instead of turning them away or standing up new buildings. The model also scales domestically: when a customer needed a Bay Area presence, Fulfillmate sourced a partner via Extensiv, aligned processes, connected systems, and went live as a new hub.
Underpinning it all is the partnership: a responsive CSM and product teams who collaborate on roadmaps and module fit. As Ben puts it, "The people at Extensiv are proactive. When we explore a new module, they help us decide if it's the right move and how to implement it."
